Event Reports and Dashboard

View, export, and run reports on event registrations, ticket sales and attendees, as well as setup a Dashboard to see Event Sales, Revenue and also recent attendees and ticket sales in the Events Module.

There are a couple of places you can access ticket reports and widgets in the Events Module:

Process Pending Events Payments 

By default your Main Events Dashboard will show the Pending Event Payments widget if any manual payments are outstanding and need to be processed.

Confirming payments is only applicable for manual payments, such as cash, direct deposit, or cheque. This excludes online payments, as they are automatically approved by the system.

To confirm a payment, click the three dots next to the transaction and select “View Payment Details,” or click the red hourglass on the dashboard to view the payment details.

The payment details allow you to change the Payment Date if you received the payment on a different date for manual payments and to leave a note against the transaction. You also have the option to view the invoice if needed.

Click the Confirm Payment Has Been Received button to confirm the payment. Any note will appear under the Notes tab of the member’s account, and a tooltip will display on the payment date if it differs from the order date.

Setup your Events Dashboard

To set up your events dashboard, please navigate to the Events Module.

Click on the Add Widget Button at the top of the page

Select from the list of Widgets Available and click Add Widget (or add another if there is already one on your page (as shown below).

To change the widget settings, click on the COG to the right of each widget, each widget has different settings and you can also configure the width that you want the widget to appear.

Drag and drop widgets around your dashboard to set it up to best suit your organisation.

General Event Reports

There are three other event reports available, Sales Report, Payments Report and Ticket Report

Ticket Report

This report provides an overview of all ticket and product sales for an event. Start by selecting the event from the dropdown list, or use the event date range to filter. You can also choose to view future, previous, or all events.

The report will then show all the ticket and product sale details as well as export options.

Export options for all tickets to CSV for the event:

Payments Report

The Payments Report filter works the same way as the payments report filters in other modules. For more details about this functionaliy, please see here: Event Payments Report

Sales Report

You can view the sales report by clicking on Sales Report in the left navigation:

You have the option to select a specific event from the dropdown menu to generate the report, or you can customise the date range or filter by previous or upcoming events.

You can run a few exports for each event:

Export Ticket Summary To CSV: this exports a summary of all ticket sales for the event. Products are not included.

Export Product Summary To CSV: this exports a summary of all product sales for the event. Tickets are not included.

Export Both To CSV: this exports both ticket and product sales for the event.

To view individual orders, click VIEW ORDERS. Individual orders and tax invoices will be listed for download.

Click EXPORT ORDERS to view export options:

  • EXPORT ALL TICKET ORDERS: exports all ticket orders. 
  • EXPORT ORDER SUMMARY: exports a summary of all orders.

Attendance Report

This report provides registration details for both ticketed and non-ticketed events. You can filter the data by event name, date, duration, and event status (e.g., completed or upcoming). You can choose to display event details, email, and export the report as a CSV file. Additionally, you can use the filter options below to customise your search. 

Event Name Search: Specify the name of the event to generate a report specific to that event.

Event Date: Set the date range for the events you want to include. You can also choose to filter by event status: either completed or upcoming.

Account Lookup: Directly specify the account of a registrant to generate a report related to their registration.

Member Type: Filter by current members or non-current members (includes expired, removed, pending, or users without an active membership).

Registration Type :

  • Main Attendee refers to the registrant who completed the event registration. This filter applies to both registration-based and ticketed events.

  • Additional Attendee refers to individuals added during the main attendee’s registration process. This filter is only applicable to ticketed events where the registrant can assign tickets to their secondary members or to other individuals via the "Account" field.

Show Event Details: Enabling this option adds an extra column to the dashboard displaying the event name and date.

 

You can email the registrants from your search results by clicking the Email Attendees button. If needed, you can also export the search results by clicking the Export to CSV button.
