This area lists the global chat settings.

  • Chat Participant Roles: Members with these roles are permitted to create direct messages and chat groups within the app.
    • The PUBLIC role is assigned by default.
    • To restrict this access remove the PUBLIC role and assign a suitable role.
    • The role you assign can be existing membership levels or a custom role that only has committee members.  You may need to create a new role for this purpose. You can also assign member tags that were created under the member tags settings.
    • Members in roles or tags with this privilege can view the chatroom module, can create direct messages, and can add members to direct group chats.
    • Members who do not have this privilege can not create direct messages nor add members to group chats.
    • Members who do not have this privilege and aren’t part of a current chatroom will not see the Chat module in the app.

Once you have removed and added roles, click SAVE to apply the changes.  These changes will be live immediately.

Adding a New Chat Group

A chat group is a group of members who are given access to a chat room on the app.  To create a new group click ADD GROUP and enter the Chat Group Name.  Group Live and Expiry dates are optional.

Chat Room Type is a mandatory selection, with two available options: a standard (role-based) chatroom or an Opt-in chatroom. In the case of an Opt-in Chatroom, it is only accessible to members with specific roles who must actively choose to participate by opting in. Once opted in, they can then view, send messages, and receive notifications.

The group will be created in a deactivated state as a PUBLIC group where all current members can access the chat room in app.

An Opt-in chatroom will be distinguished by a distinct icon displayed beside the chatgroup's name.

Restrict Chat Group to Specific Roles , Membership Levels or Tags

Chat groups can be restricted to membership-level roles, tags or any other custom role you have created.  Select the security iconrtaImage (69) to restrict the chat group.

Chatrooms are initially set to a default state with no assigned role and an alert. To customise them, you need to assign a specific role or add a level. For the Standard (role-based) chat room, PUBLIC role is not applicable. To configure the chat room, you should either assign a specific role or select membership levels. In contrast, for an Opt-in chat room, you have the option to select a PUBLIC role.

Select the desired role or tags from the dropdown list.

The chat group will now be restricted to members within that role.  You can add as many different roles to the same chat group as you like.

Event Based Chat Rooms

When you create an event using the Events Module it is possible to have a Chat Room automatically created to communicate with the attendees of each event.

To do this, create or edit an event in the Events Module, and under the "Registrations" tab, select Yes next to "Enable Linked Chat Room"

You can view the Events Chat Room list from the chatroom dashboard.
