Restricted Membership Access

You can now restrict access so that certain membership administrators can only see and administer certain membership levels both on the app and in the membership module.

You can now restrict access so that certain membership administrators can only see and administer certain membership levels both on the app and in the membership module. The user will have access to the following elements for the allocated membership level(s) only.

  • Ability to add products.
  • Ability to edit forms.
  • Ability to edit membership emails.
  • Add members.
  • Ability to perform all membership administration functionality on members (with their level).  Please note: Archiving a member is a global action that will revoke member access to all levels not just the level this restricted access allows.
  • Perform advance searches.
  • Email all members in their level using "Email Members" functionality.
  • See relevant payment and activity reports.
  • Approve pending members on the website and the app.
  • See relevant dashboard widgets.
  • See Members on the app.
  • and more....

SETUP ROLE IN SECURITY

To setup restricted membership access you must first create a role in Security and under Module Privileges give the new role Membership "App View and "Item Contributor Access" (screenshot below). For more infomation on creating Roles and Permissions for user click here.

ALLOCATE ROLE TO THE SELECTED MEMBERSHIP LEVEL

The next step is to select which membership levels the new role can see and administer. Go to Membership > Membership Levels > List Levels and click "Edit" next to the level you wish to give your new role access to. 

If you have the feature available you will see a "Restricted Access Role" heading as below and all of the Roles that have been allocated Membership Item Contributor will appear in the dropdown list. Please select the correct role you wish to give access to the level and click "Save" or "Save and Close".

Once you are happy the role is setup correctly you can allocate it to the relevant user. For more information on adding users to a role see Roles & Permissions.

MEMBERSHIP LEVEL VIEWER ACCESS.

You can also give Viewer Only access to a membership level if you would like to by giving the role "Item Viewer" privilege on the Membership Module. See below.

USING EMAIL CAMPAIGN TO SEND EMAILS TO RESTRICTED MEMBERSHIP LEVELS

You can use the restricted functionality in conjunction with the "Email Campaign" access to allow membership administrators to send emails via the Email Campaign module to their membership level only. 

Before turning on this feature make sure that you have all of your email campaigns setup to be secured. Go to Modules > Email Campaign  and edit each level and make sure that "Secured" is set to Yes.

Then you can go into your restricted role created above and add "Email Module" permission "Item Contributor".

GIVE ACCESS TO THE SELECTED CAMPAIGN

You can give access to the new administrator any particular campaign, however if create a "Membership Linked" campaign, it will allow the user to only send to their level. 

Associated Module : "Membership"

Secured : "Yes"

Roles: Select the role from the list and click "Save and Close".

TIP: Test logging in as your new user to make sure that you have setup their access properly and they can only see the relevant levels before giving them details to login.
